Privacy Policy

Version 1.0 · Effective: 21 September 2026

1. Who we are

Onwai is an online platform operated by:

SIA "NPL Ventures"
Registration No. 40203781981
Ventas iela 27–26, Mārupe, Mārupes nov., LV-2167, Latvia
E-mail: support@onwai.me

SIA "NPL Ventures" is the controller of personal data processed through Onwai where it determines the purposes and means of the processing.

2. Scope

This Policy applies to personal data processed when a person:

  • visits Onwai;
  • creates a Driver account;
  • creates or manages a Company account;
  • creates or completes a profile;
  • searches or browses marketplace content;
  • creates or responds to vacancies;
  • applies for a vacancy;
  • sends or receives an invitation;
  • establishes a connection;
  • uses messaging;
  • uploads documents;
  • uses document or verification functionality;
  • contacts support;
  • submits public forms;
  • receives service communications;
  • otherwise uses Onwai.

3. Data we process

Account and registration data

A Driver may provide: username; e-mail; first and last name; phone; country; password or other authentication information; professional profile information.

A Company may provide: username; company name; the contact person's first and last name; phone; e-mail; country; company registration number; VAT number where applicable; website; company and fleet information; password or other authentication information.

Profile and professional data

Depending on the user's role and choices, Onwai may process: date of birth; nationality; country and city; profile photo or company logo; driving licence categories; years of experience; certificates; languages; employment preferences; availability; expected salary; preferred work countries; transport types; cargo types; rotation and work preferences; relocation preferences; professional summary or about information; company description; company operational and profile information; vacancy requirements; benefits and other employment-related information. Not all of these fields are mandatory — many are optional and depend on what the user chooses to provide.

Marketplace activity

This may include vacancies, applications, invitations, application and invitation status, saved vacancies, saved Drivers, connections, recently viewed and other marketplace state where actually stored, and moderation state.

Communication data

This may include messages between connected users, message timestamps and read state, permitted professional-document references, support requests, public request or contact form submissions, and records of transactional communications where available.

Professional documents

Drivers may upload documents such as a driving licence, professional certificates, a CV and other supported professional documents. Access to these documents is controlled and depends on platform functionality and authorisation.

Identity documents

Drivers may optionally submit a Passport or National ID through the separate Identity Document feature.

  • Submitting an identity document is optional and is not required for account registration.
  • The original document is stored in private storage.
  • Authorised Onwai administrators may access it where necessary to perform the document-review function.
  • Companies cannot access identity documents by default.
  • Identity documents cannot currently be shared through Onwai Messages.
  • Onwai currently performs a document review; an uploaded copy alone is not conclusive proof of identity.
  • Access, review and deletion events may be recorded in an identity security audit log.
  • The Driver may delete their identity document through the available account controls.
  • Any future functionality allowing identity information to be shared with a Company will require a separate action and authorisation and is not part of the current functionality.

Technical and security data

Onwai records operational timestamps, user and account identifiers, roles, status and security or audit events necessary to operate and secure the service. The current application does not intentionally maintain a general application-level database of user IP addresses, user-agent strings or device fingerprints. Infrastructure providers may process technical logs as part of hosting, authentication, security and service delivery.

4. Purposes and legal bases

Contract or steps at the user's request — GDPR Art. 6(1)(b), where applicable

Creating and administering accounts; providing Driver and Company functionality; profiles; vacancies; applications; invitations; connections; messaging; saved functionality; delivering requested platform features; authentication; providing support requested by the user.

Legal obligation — Art. 6(1)(c), where applicable

Compliance with applicable law; responding to lawful requests; accounting and tax obligations if paid services are introduced; legally required records.

Legitimate interests — Art. 6(1)(f), where applicable

Platform and account security; preventing abuse and fraud; moderation; enforcing platform rules; maintaining audit and security records; troubleshooting; protecting Onwai, Drivers, Companies and other users; improving the reliability of the service. Legitimate interests are relied on only where they are not overridden by the interests or fundamental rights and freedoms of the individual.

Consent — Art. 6(1)(a), only where specifically requested

Optional processing that legally requires consent, including the use of Google Analytics for website and platform usage measurement, which runs only where analytics consent has been granted and can be withdrawn at any time through Cookie preferences; future non-essential technologies if introduced; other clearly identified optional functions. Accepting the Terms of Service and acknowledging this Policy at registration is not blanket GDPR consent to all processing.

For identity documents, the applicable legal basis depends on the specific identity or document service requested and its purpose; Onwai does not rely on a single blanket basis for all identity processing. A separate identity-document privacy notice is shown before an identity document is uploaded, and it may be updated as the identity service evolves.

5. How data is used in matching

Onwai may compare information in Driver profiles with vacancy requirements in order to calculate and display compatibility or matching information. Matching may use professional and profile criteria such as licences, certificates, transport experience, experience, cargo, employment preferences, rotation, languages, country and salary. Matching information is intended to assist discovery. It does not constitute an employment decision and does not guarantee suitability or employment.

6. Who can see data

Drivers see Company and vacancy information, and their own account information, according to platform functionality.

Companies may see marketplace-visible Driver profile and professional information according to Onwai access rules. Companies do not receive Passport or National ID files by default.

Authorised Onwai administrators may access data where necessary for moderation, support, document review, security and enforcing platform rules.

7. Service providers

Onwai uses service providers necessary to operate the platform, including categories such as hosting and application infrastructure, database, authentication, private file storage, transactional e-mail delivery, domain and e-mail infrastructure, and technical or security services. Where analytics consent is granted, Google (Google Analytics) processes usage measurement data; see the Cookie Policy.

Known current infrastructure includes Lovable, Lovable Cloud and Supabase. The database and backend are currently hosted in the EU/EEA region identified by the current infrastructure as AWS eu-west-1 (Ireland).

8. International transfers

Onwai seeks to use EEA-based processing where practical. Some service providers or their subprocessors may process data outside the EEA. Where personal data is transferred outside the EEA, Onwai will rely on an applicable GDPR transfer mechanism where required, such as an adequacy decision, Standard Contractual Clauses or another lawful safeguard.

9. Data retention

Onwai retains personal data only for as long as reasonably necessary for the purposes for which it was collected, including providing the service, maintaining security, resolving disputes, enforcing agreements and complying with legal obligations.

Retention depends on account status, data category, purpose, legal obligations, security and fraud requirements, and disputes or claims.

  • Professional documents can be replaced or deleted by the Driver.
  • Identity documents can be deleted by the Driver.
  • Identity security and audit records may be retained where necessary for security, accountability or legal compliance.
  • Certain marketplace records and messages are retained while necessary to operate and protect the platform.
  • Onwai does not claim that all data is automatically deleted after a fixed number of days.

You may contact support@onwai.me regarding deletion and retention.

10. Account deletion and erasure

You may request deletion of your Onwai account and personal data through Onwai Support or by writing to support@onwai.me. Erasure may be limited where retention is necessary for legal obligations, the establishment, exercise or defence of legal claims, security and fraud prevention, or other lawful grounds under the GDPR.

11. Your GDPR rights

  • access;
  • rectification;
  • erasure;
  • restriction of processing;
  • objection;
  • data portability where applicable;
  • withdrawal of consent where processing is based on consent;
  • lodging a complaint with a supervisory authority.

Requests: support@onwai.me. Onwai may need to verify your identity before fulfilling a rights request.

Supervisory authority in Latvia: Datu valsts inspekcija (Data State Inspectorate) — https://www.dvi.gov.lv/

12. Security

Onwai applies reasonable technical and organisational safeguards, including, where applicable, authentication, role-based access, database Row Level Security, private file storage, short-lived signed document URLs, restricted identity-document access, audit logging and account suspension controls. No online service can guarantee absolute security.

13. Children

Onwai is a professional and employment marketplace intended for persons legally able to use the relevant professional and employment services. The service is not designed for children.

14. Service communications

Onwai may send necessary account and service e-mails, such as e-mail verification, password reset, application and invitation notifications, document review results, vacancy moderation results and important account, service or security messages. These are service communications, not marketing newsletters. Marketing and newsletter sending is not currently implemented.

15. Policy changes

This Privacy Policy may be updated. Material changes may be communicated through Onwai or by e-mail where appropriate. The current version and effective date are shown at the top of this page.
